Jobs scheduled on live construction projects, week by week, with what each project carries on contract. Built for purchasing and warehouse — open a week, open a day, click a customer, then go check stock and POs in ServiceTitan.
Scope: live construction projects only (APS Construction business unit) — inground, Stealth/semi-inground and above ground. Hot tubs are not on this page. Stock is Union City Warehouse. A project leaves this report the moment ServiceTitan moves it to Completed or Canceled — contract, items and scheduled jobs all go with it.
What to watch covers every project in the current selection, scheduled or not. That's the point of it: a project sitting at Checklist Pending with nothing booked still needs materials eventually, and it would be invisible if the summary only showed booked work. Where a project does have work booked, the summary says when. The week-by-week section below is the opposite view — only what's actually on the schedule, over the next ten weeks.
Open in ST opens that project in ServiceTitan in a new tab. It goes to the project record, not the customer, so you land where the jobs and purchasing detail live.
Jobs, not projects in the weeks section: each day lists the jobs scheduled that day, grouped under the project they belong to. One project can have several jobs in a week — a dig Tuesday and concrete Friday — and will appear on both days. Counts are of jobs. Only appointments ServiceTitan has as Scheduled are included; coordinator visits are excluded. Weeks run Monday to Sunday.
Filters stack: product line, stage, project manager and salesperson all apply at once, and everything below them reflects the current selection. The counts beside each option are the live projects matching it within the other filters currently set. The stage chips in the summary are clickable — they set the stage filter.
Stage tags: job types matching the project's current substatus are highlighted. Projects are often created with dig, build, concrete and finish jobs all booked on one date, which is why a project at Dig may show a finish job too — those are placeholders, not imminent work.
Who tags: blue is the project manager, purple is the salesperson. Both come from the ServiceTitan project itself — the PM from the assigned project manager, the salesperson from the project's Sales Person custom field. Both are on every live project, and neither depends on the HubSpot contract match.
Item totals count units across every project in the current selection that has a confident contract match — one per project, not per job, and not limited to scheduled work. Click a total to drop open the list of projects carrying that item, showing each project's scheduled dig date and current stage, sorted soonest dig first. Special-order items need to be available by dig.
Additions and removals both count. A change order that adds a heater adds to the total. A change order that takes one off — a line named "No heater", or any line with a negative amount — subtracts from it. Projects that net to zero are not hidden: they drop to a "Removed by change order" section at the bottom of the list, struck through, so the removal can be verified. Plumbing-only and credit lines are ignored either way — a heat pump plumb-only line is prep work, not a heater.
Material hold means the checklist is done and the project is waiting on materials. Those rows are marked in amber, and a hold with jobs booked is the sharpest signal on this page.
Line items come from the matching Won HubSpot deal. Projects are matched on the customer's phone number first, falling back to site address, with a surname check on both, and only where exactly one deal matches. Anything ambiguous is left unmatched rather than guessed — those projects are listed under the item totals so you can check them in HubSpot directly.
